Most "best photo scanning service" lists compare price per photo and stop there, but Forever Studios, a photo and video preservation studio in Boca Raton, Florida, knows that price per photo is the easiest number to compare and the least useful one, because it hides the three things that actually decide whether you are happy: what resolution you get for that price, whether a machine or a person handles the print, and what the company owes you if your photos never come back.

The comparison below uses only figures each company publishes on its own site, with links so you can check them. Where a company does not publish something, and several do not publish how they handle your prints, or what they will pay if they lose them, that is noted rather than guessed at.

Does the ScanMyPhotos box really cost 9 cents a photo?

Only if you fill it. The prepaid box is priced flat, $169 on sale at 300 DPI, $250 at 600 DPI, and ScanMyPhotos states that “on average, the box will hold 1,800 photos.” Fill it and you are at roughly 9¢ to 14¢ a photo including shipping both ways, which nobody else in this comparison approaches. Send 400 photos in the same box and you have paid 42¢ to 63¢ each.

The trade-off is disclosed plainly in their own terms, worth reading before you decide. ScanMyPhotos writes that these are “high-speed photo scans… not designed to archive professional images with museum-quality clarity,” and that they cannot “individually quality control your files due to the extremely high volume scanning operation” (ScanMyPhotos Terms of Service). Their prep instructions describe paperclips and scraps that “jam our scanners,” prints must be at least 3″×3″ and no larger than 8×10, and everything must be square or rectangular, cropped or cut-out photos are returned unscanned.

ScanMyPhotos offers a coherent, honest product: an industrial scan at an industrial price. It suits a shoebox of ordinary 4×6 prints from the 1990s. It does not suit a fragile 1940s portrait, and ScanMyPhotos does not pretend otherwise. Note too that their liability is capped at store credit, not the value of the photograph.

What does ScanCafe do differently from high-volume services?

ScanCafe is the one large mail-in service that says outright it does not use feeders for prints: “we scan photos one at a time, without the use of auto-fed scanning machines that can mangle them” (ScanCafe photo scanning). Their standard is 600 DPI at 48¢, with no lower tier, you are not upsold to the resolution you probably wanted. They also take albums intact, remove each print by hand, scan it and put it back in sequence, for $9.95 per album.

Two things in their fine print deserve attention. First, the “80% rule”: you must buy at least 80% of the scans in your order, so you can reject up to a fifth of them after reviewing every image online. That is genuinely customer-friendly and nobody else here offers it.

Second, a gap exists between the marketing and the terms. ScanCafe’s pages foreground a US facility in Indianapolis. Its Terms and Conditions state that “ScanCafe has processing centers located within the United States and outside the United States (India). ScanCafe reserves the right to use any one of its processing centers for providing service to its customers” (ScanCafe Terms and Conditions). The customer does not choose. If where your photographs physically travel matters to you, that clause is the one to read, not the homepage.

Their liability language is unusually specific and unusually narrow: up to $1,000, but only for loss of your entire order, only while it is in their possession, and with shipping in both directions expressly your risk, “NO INSURANCE IS AVAILABLE.”

Why is Memory Fortress faster than other mail-in services?

Because everything happens in one building in Atlanta and there is no prepaid-box logistics loop. Their published policy is a five-day turnaround for loose-photo orders under 10,000 prints, and they state that “85% of all orders are 5-day turnaround” (Memory Fortress shipping and logistics). Against ScanCafe’s three to four weeks and ScanMyPhotos’ three to seven, that is a different category of service.

Pricing is a genuine two-tier: 29¢ at 300 DPI or 49¢ at 600 DPI when you order online, so the resolution upgrade costs a transparent 20¢. They will also scan photos that are stuck fast to album pages, “If the pictures are stuck to the album itself and cannot be removed, we can still process them”, and they are blunt about the box model: “Are you going to send me a prepaid box? No! Never!” (Memory Fortress FAQs).

What they do not publish is a limitation-of-liability clause. There is no terms-of-service page on the site at all. This is not the same as unlimited liability; instead it means there is no stated remedy to point to if something goes wrong, which is worth knowing before you ship irreplaceable prints.

How does Forever Studios compare to mail-in services?

At 50¢ a photo at 300 DPI and 70¢ at 600 DPI, Forever Studios costs more per print than ScanCafe, Memory Fortress or a filled ScanMyPhotos box, roughly 20¢ to 25¢ more than the mail-in services at the same resolution, and several times a filled box. The gap is the whole conversation, so precision matters about what it buys rather than waving at “quality.”

Forever Studios makes a decision about every print that is not routine. Loose photos in good condition run through a feeder, which is how anyone gets volume pricing and there is no point pretending otherwise. Anything fragile, curled, textured, oversized or already damaged is pulled out and scanned by hand instead. Nobody at a high-volume operation is making that call photo by photo, ScanMyPhotos says so plainly in its own terms, that it cannot “individually quality control your files due to the extremely high volume scanning operation.”

The album stays an album. Bound albums are scanned in place at 65¢ a photo. ScanMyPhotos will not take albums at all. ScanCafe and Memory Fortress both do the job carefully, and both take every print out first, Memory Fortress returns the album empty with your photos in labelled bags. If the album is the artefact, the handwriting, the captions and the order somebody chose fifty years ago, then dismantling it loses the thing you were trying to keep.

You have somebody to talk to, and somewhere for the work to go next. Restoration happens in the same building rather than being sent out, which matters when a scan comes back and the print turns out to need work, a torn corner, water damage, colour that has shifted. If what you are holding is fragile, bound into albums, already damaged, or simply irreplaceable, the cheaper scan is the more expensive mistake.

What should you compare when choosing a photo scanning service?

First, resolution at the price quoted. A 300 DPI scan of a 4×6 gives you about a 2-megapixel file, fine on a phone, thin if you ever want an 8×10 print. 600 DPI is the sensible archival default for prints. Compare like for like: ScanCafe’s 48¢ and Memory Fortress’s 49¢ are 600 DPI, while Memory Fortress’s 29¢ is 300 DPI.

Feeder or by hand. This is the difference that shows up on fragile prints, and most services do not state it. ScanCafe says explicitly that it does not use auto-feeders. ScanMyPhotos describes a high-volume operation without individual quality control. Memory Fortress does not say either way. If your photos are brittle, curled, or have surface texture, ask before you ship.

Third, what happens to albums. Refused entirely, taken apart and reassembled, taken apart and returned in bags, or scanned in place, four genuinely different outcomes, and the one you want depends on whether the album matters or only the pictures in it do.

Fourth, what they owe you. Store credit, $100, $1,000 for total loss only, an insured return, or nothing stated at all. For a box of prints you can reprint, this is academic. For the only photograph of a grandparent, it is the most important row in the table.

What hidden traps exist in photo scanning pricing?

Flat-rate boxes only pay off when full. The advertised per-photo price assumes a capacity most people never reach, and there is no refund for the space you did not use.

Bundle counts hide the real photo price. When 25 photos count as one “item”, a service that looks reasonable for tapes can be the most expensive option on the page for prints.

Marketing pages and terms pages can disagree. Where a company processes your photographs, what it will pay if they are lost, and whether turnaround is a promise or an estimate are all settled in the terms, not the homepage. Every service on this page except Memory Fortress publishes terms; read the liability clause before you ship anything you cannot replace.
